Early Appointments Solutions Inc. (“we,” “us,” or “our”) is a private, independent Canadian company registered in Alberta and providing administrative U.S. visa appointment monitoring and booking services.

This Privacy Policy explains how we collect, use, disclose, protect, retain, and manage personal information in connection with our website and services.

Our privacy practices are intended to comply with applicable privacy laws, including Alberta's Personal Information Protection Act (PIPA), as applicable.

2. Information We Collect

When you submit an enquiry through our website, we may collect information such as:

  • visa category;
  • preferred appointment location; and
  • information contained in any message or enquiry you voluntarily submit.

If you become a client, we may collect additional personal information reasonably required to establish and administer your service agreement and provide the requested appointment monitoring and booking services.

Where necessary for the agreed services and properly authorized by you, we may also access information associated with your appointment account.

We may collect limited technical information, such as IP address, browser type, device information, and website interaction information, for purposes such as website security, fraud prevention, abuse prevention, rate limiting, and understanding aggregate website usage.

We seek to collect only information that is reasonably necessary for the purposes for which it is collected. Alberta's OIPC specifically emphasizes reasonable purposes and limiting collection to what is reasonably required.

3. How We Use Personal Information

We may use personal information to:

  • respond to enquiries;
  • communicate with prospective and existing clients;
  • understand service requirements;
  • prepare and administer service agreements;
  • provide appointment monitoring and booking services;
  • schedule or reschedule appointments where properly authorized;
  • issue invoices and process payments;

  • maintain website and system security;

  • comply with applicable legal obligations.

We do not sell personal information.

We do not intentionally alter or change the client's login credentials.

Account access is limited to what is reasonably necessary to provide the requested services.

We may disclose personal information to service providers that reasonably need the information to operate our business or provide the requested services.

These may include providers supporting:

  • secure electronic signatures;
  • email and communications;
  • document management;

We disclose only the information reasonably necessary for the applicable purpose.

Some service providers used by the Company may operate or process information from locations inside or outside Canada.

Where reasonably necessary to provide our services or operate our business, personal information may therefore be accessed, processed, or stored outside Canada.

Information processed outside Canada may be subject to the laws of the jurisdiction in which it is processed or stored, including lawful access by governmental authorities in accordance with applicable law.

Information regarding the countries in which service providers outside Canada may collect, use, disclose, or store personal information, the purposes for which such service providers may process personal information, and information about how individuals may obtain the Company's applicable privacy practices may be requested from our Privacy Officer using the contact information provided below.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, collection, use, disclosure, loss, destruction, copying, modification, or other misuse.

Access to client information is restricted to individuals who reasonably require access to perform their responsibilities.

No electronic system or method of transmission can be guaranteed to be completely secure. We therefore cannot guarantee absolute security of personal information.

9. Retention and Secure Disposal

We retain personal information only for as long as reasonably necessary to:

  • provide our services;
  • administer our business relationship;
  • maintain appropriate business and accounting records;
  • satisfy legal or regulatory requirements; or
  • resolve disputes and enforce agreements.

When personal information is no longer reasonably required, we will securely delete, destroy, or anonymize it in accordance with our applicable retention and disposal practices.

The Alberta OIPC specifically recommends that organizations keep personal information only as long as reasonable for business and legal reasons and destroy or anonymize it when no longer needed.

10. Access, Correction, and Withdrawal of Consent

Subject to applicable law, individuals may request access to their personal information held by the Company and may request correction of inaccurate or incomplete information.

Where consent is the legal basis for a particular collection, use, or disclosure, an individual may request to withdraw or vary consent, subject to legal, contractual, or other applicable restrictions.

If withdrawal of consent affects our ability to provide requested services, we will explain the applicable consequences where reasonably necessary.

Alberta's OIPC recommends that organizations designate someone responsible for privacy compliance and make information about their privacy policies and practices available.

If we become aware of a privacy incident involving personal information, we will assess the incident and take steps required by applicable privacy law, which may include containment, investigation, remediation, and notification to affected individuals and/or the Office of the Information and Privacy Commissioner where legally required.
